Billing Terminology

Most professional billing applications use similar terminology to define the characteristics of their application. AdvologixPM adopts these billing norms where appropriate. Please see below. 

Account

The client entity in AdvologixPM will always be an Account record, usually of Client type.

Account are records that keep track of those entities your firm does business with.

All billing data will be tracked up to the Account level.

Used to Aggregate time information and the monetary valuation of that time information from a billing perspective.

Matter

Also referred to as a Case or File, Matters are the central data element in AdvologixPM.

Matters are directly associated with an Account and must be assigned to an Account.

Closely associated with an account, unit of legal work or a unit of work associated with a client.

Timekeeper

Generally associated with the person performing the work associated with a fee based Billing entry.

Advologix Timekeepers can be firm staff, outside counsel or any form of contract labor.

Billing

A time slip, fee or expense record which accounts for the details associated with billable or non billable unit of work or expense.

In Advologix, all Billing records Billings must be assigned to a Matter.

Compiled into Invoices.

Invoice

A collection of Billing records created for a specific Matter for a specific period of time.

Account Statement Configuration

Assigned at the Account level and depicts the style of reporting for each client's new Invoices and payment activity.

Payments and Write-offs

The only way to reduce accounts receivable is to apply a payment or write-off to an outstanding Invoice.

Fund Accounts

Fund accounts can be used to manage Matter Retainers, Trusts and Collections.
